EOI - Executive Assistant / Admin Support

Allygroup is seeking Expressions of Interest (EOIs) from experienced Executive Assistant / Admin Support, particularly those who hold a security clearance, to support legal work across a range of Commonwealth departments and government agencies.

  • Short‑term and long‑term secondments across government agencies

  • Different engagement types from secondment to S26 transfer

  • Hybrid, remote, or on‑site arrangements, depending on agency requirements

  • Roles requiring a current Australian Government security clearance (Baseline and above)

What we’re looking for
We are seeking an Executive Assistant / Admin Support with experience in one or more of the following areas:

  • Manage and coordinate executive calendars, including scheduling appointments, meetings, and events

  • Organise meeting logistics, including booking rooms, preparing agendas, and coordinating participants

  • Prepare, manage, and distribute correspondence, reports, briefing materials, and other documentation

  • Monitor and manage shared inboxes, distribution lists, and communication channels

  • Track and follow up on requests, action items, submissions, and key deliverables to ensure deadlines are met

  • Maintain accurate records and document management systems

  • Support the preparation of presentations, reports, and executive papers

  • Liaise with internal and external stakeholders, building effective working relationships

  • Work closely with senior leadership and administrative colleagues to ensure the smooth operation of the executive office

  • Provide general administrative support and assist with special projects as required

About you
Our ideal candidate will have:

  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative support role

  • Outstanding organisational and time-management skills

  • Strong written and verbal communication skills

  • High attention to detail and the ability to maintain confidentiality

  • Experience managing complex calendars and coordinating meetings

  • Proficiency in Microsoft Office applications and electronic document management systems

  • Strong problem-solving skills and the ability to work independently

  • A collaborative approach and the ability to build positive relationships with stakeholders at all levels
