APS5 Program Support Officer

Allygroup is seeking highly motivated and experienced Program Support Officers, at the APS5 level, to join a high-profile federal government agency for an initial 12-month engagement (with the possibility of extension).

This role offers a unique opportunity to support impactful national initiatives and deliver high-quality project management that contributes to Australia’s national security interests and values.

The role is available through a labour hire arrangement. Candidates must be located in Canberra and hold an NV1 security clearance or above.

Working from home and flexible working arrangements available on a case-by-case basis.

Duties and Responsibilities:

  • Providing project management and secretariat support to projects across the division for a range of committee, board and tender meetings. 

  • Scheduling meetings

  • Drafting correspondence for review

  • Collating packs for committee/board meetings from a variety of sources, including summarising content for executive review (e.g. drafting dashboards)

  • Taking clear and concise minutes of committee/board and tender meetings, considering the broader strategic environment

  • Organising and maintaining paper and electronic files

  • Tracking the status of project documentation and proactively communicating when required content is overdue or a project is at risk (e.g. a project has not submitted a status report by a defined due date, a project is now reporting red, etc)

  • Providing information to stakeholders and, where relevant, referring queries to the correct committee stakeholders

  • Accessing and modifying Word, Excel, PowerPoint, and PDF files stored on SharePoint

  • Working both autonomously and collaboratively as part of a high performing team, establishing and maintaining effective partnerships with key internal and external stakeholders

Desirable Skills

  • Ability to critically assess documentation (e.g. confirm a project’s reporting status against the agreed criteria) and proactively assess the appropriate next steps in consultation with leadership

  • Demonstrated experience tailoring messages to a variety of audiences

  • Experience updating and implementing frameworks, policies, guidelines, and procurement documentation that deliver business outcomes for the organisation

  • Ability to prioritise work based on urgency and importance while maintaining flexibility to respond to ad hoc taskings

  • Experience with TRIM record management system
