Executive Assistant (APS 4-5)

About the role 
Allygroup is searching for an outstanding executive assistant to join a legal division within a high-profile government agency for an initial 3-month secondment arrangement with the possibility for further extensions. 

You will work to the highest standards in government and learn from the best as you work closely with some of the government’s finest senior executives and in-house legal teams. This is a secondment opportunity with an immediate commencement (subject to onboarding process and requirements). 

Candidates must be Canberra-based and available on a full-time basis. 

Duties include:

  • managing the General Counsel’s work schedule and all aspects associated with it, including telephone calls, electronic diary appointments and organisation of meetings and relevant papers

  • coordinating all correspondence in and out of the General Counsel’s office and e-mail inbox, including follow-up and monitoring

  • coordinating Senate Estimates and Ministerial briefs, and other reports and briefs

  • providing administrative support to the Branch, including management and maintenance of meetings rooms, stationery and office equipment

  • actively managing and promoting relationships with internal and external stakeholders

  • filing records in accordance with approved records management processes and security requirements, including management and maintenance of document recording systems

  • performing straight forward research and provide project management assistance

  • coordinating programs, executive meetings and other activates for the Branch

  • providing secretariat support to meetings

Candidates must be able to demonstrate:

  • good attention to detail

  • the ability to manage competing priorities

  • strong written and oral communication skills

  • excellent keyboard and computer skills with note taking abilities

  • excellent organisation skills

  • use initiative to improve administrative processes

  • ability to follow direction and procedures

  • good stakeholder management skills

This role is typically fast paced with rigid timelines and work may be required outside normal work hours to meet peak work demands. Discretion, tact and diplomacy are required in dealing with sensitive and/or confidential matters.
