Allygroup is looking for a driven Governance Officer at APS 6 level, for an initial 12-month labour-hire arrangement with a high-profile government agency.
Successful candidates will be part of the Diplomatic Security Division, providing essential project management and secretariat support. This role requires ensuring compliance with departmental and whole-of-government procurement policies while contributing to the efficient operation of key projects.
Candidates must be Australian citizens, based in Canberra, available to work full-time at the Barton office, and hold an NV1 clearance.
Candidates must have demonstrated experience in:
Experience in scheduling meetings efficiently and managing agendas.
Ability to draft correspondence with clarity and accuracy for review.
Skilled in compiling committee and board meeting packs from multiple sources, including summarizing key content for executive review (e.g., drafting dashboards).
Proven ability to take clear and concise minutes during committee, board, and tender meetings, while considering the broader strategic context.
Strong organizational skills for maintaining paper and electronic files systematically.
Experience in tracking project documentation status, proactively identifying overdue content or project risks (e.g., missed status reports, projects reporting red).
Capability to provide information to stakeholders and direct inquiries to the appropriate committee representatives.
Proficiency in accessing, modifying, and managing Word, Excel, PowerPoint, and PDF files stored on SharePoint.
Ability to work autonomously while contributing effectively to a high-performing, collaborative team, fostering strong relationships with key internal and external stakeholders.
Skills and Experience
Ability to critically assess documentation (e.g., validating a project’s reporting status against agreed criteria) and determine appropriate next steps in consultation with leadership.
Strong communication skills, with demonstrated experience in tailoring messages for different audiences.
Expertise in updating and implementing frameworks, policies, guidelines, and procurement documentation that support business outcomes.
Capacity to prioritize tasks based on urgency and importance while maintaining flexibility to respond to ad hoc requests.
Experience with the TRIM record management system.
